Guidelines for operations personnel
Start easily,
Operate by the same standards.
From QR guidance to member management, perfect attendance verification, and record organization.
These are practical guidelines for internal operations staff to check together.
Operational Structure
Distinguish between organization, group, and QR.
| Classification | Role | Operation example |
|---|---|---|
| Organization | Operational unit to manage membership and attendance | One academy, one meeting, one operation team |
| Group | Division of members within an organization | class, group, team, small group |
| QR | Entrance for members to access attendance page | Start with default QR and add more when needed |
There is no need to create multiple QRs just because there are many members. If you only want to share the same membership list, review the groups first. When using multiple QRs, the operators first decide which QR to guide.
Real-world records from organizations of 100+ people confirmed attendance via multiple QRs and attendance of members assigned to groups. We do not disclose specific customer industries or activity purposes.
Daily Checklist
Preparation, operation, deadline, confirmed by the person in charge.

Response to member inquiries
Distinguish between membership registration and administrator registration.
- Operator: Sign up with your ID, email, and password and manage your organization.
- Members present: Access the organization’s QR or link and register with your name and phone number. Automatic approval and attendance processing are carried out in the daily attendance route.
- Waiting for approval: If there is still a wait for another registration route or member status, the registration details will be checked and processed in member management.
- Change device: Check if it matches the existing name and phone number. If duplicate registration is suspected, existing rosters will be checked first rather than continuing to create new members.
- Pre-registration: Pre-registration information and actual input value must match for matching. Don't consider automatic matching as complete attendance, but also check your first record.
Perfect attendance operation standards
The current system makes this decision.
Organizational management → Perfect attendance statistics → Period setting / Attendance schedule setting / Class cancellation week
- Stores the program start date and the entire program week. This is the basis for calculating program weeks. If the period changes, the existing results may change, so check before making any changes.
- Set attendance schedule. The program is determined according to operation among designated days per week, designated days per day, and monthly dates.
- Reflects the week of absence. The current feature accounts for closed weeks. Don't assume this is the same as a rule that arbitrarily excludes one date, but check the program week indication.
- Check the results by group. Use perfect attendance/attendance/absence filters and sorting and export to CSV/image if necessary.
| Setting status | Attendance decision by program week |
|---|---|
| No attendance schedule | If there is a day of attendance within the program week, it is counted as attendance. |
| Daily unit/specified day | You must attend all designated days of the program week for the program week to be counted as attendance. |
| Weekly / Monthly | Check attendance on the designated date assigned to the program week. |
| There is a setting, but there is no designated date for the program week. | The current implementation uses attendance within program weeks. Make sure it fits your intended operating schedule. |
If the attendance date for an ongoing program week has not yet arrived, the status may change in the future. Confirm final perfect attendance, completion, and awards after completing the program and confirming final attendance.
Separate attendance schedules were not saved in the three organizations analyzed with more than 100 people. In this public case, ‘participation for more than 2 days’ is not the number of perfect attendance. It is not used as a figure to prove the effectiveness of perfect attendance or improved participation rate.
Record correction and closure
Check for omissions and leave a reason for correction.
- First, check if the organization, date, member, and QR are correct. Check that you are not using a date filter or viewing records from another organization.
- Test mode is not included in actual recording. The test confirmation screen alone does not confirm actual attendance.
- If manual addition or deletion is necessary, confirm attendance and fill out the reason for modification provided. First, check if there are any existing records.
- After processing, check again how it was reflected in attendance statistics and perfect attendance statistics.
- Closed data is forwarded to the person in charge with the inquiry period and creation time included.
Do not create records to meet perfect attendance figures just because you have manual edit permission. Process based on actual attendance verification and operational standards.
Connecting Statistics to Operations
Do not read different numbers with the same meaning.
| Indicator | Meaning | How to use it in operation |
|---|---|---|
| Registered/Approved Member | Roster size | Organizing groups to operate and guidance targets |
| Attending members | Member with more than one record during the period | Distinguish between list size and actual participation size |
| Number of attendance records | Number of saved attendance | Check records and omissions by date and QR |
| Repeat participation | Members who attended again on different days | Distinguish between one-time participation and repeated participation |
| Perfect attendance | Judgment according to the set period, program week, and schedule | Close the program after checking settings and exceptions |
Online attendance records alone do not provide proof of class viewing time or completion of exercise performance. If the operation requires separate confirmation of activity completion, determine the confirmation procedure for the person in charge.
